Unless stated separately on an individual event page these terms and conditions will apply

For others event organisers individual terms and conditions please view their ticket purchase pages and/or their website

Bookmein Tickets Ltd

Entries to competitions and tickets are to be purchased and made online using the www.bookmeinevents.co.uk website and must be paid in full in order to be accepted.

Tickets and entries into events will be accepted on a first come first served basis, once the event has reached capacity a waitlist may be utilized.

Late entries: If we are able to, we will accept purchases of tickets and entries to competitions online, Please note a late purchase or entry may be subject to the surcharge.

Event Cancellation for Bookmein Tickets Ltd events

In the event of a cancellation, tickets and entry fees will be returned. An admin fee stated on each individual schedule will be retained. This admin fee is on a per ticket or combination basis. All booking fees are non refundable

Event Postponements & Relocation for Bookmein Tickets Ltd events

In the event of a Postponement & Relocation:

A new date will be announced and your ticket or entry will automatically be transferred to that date, you will be notified via email. If you are unable to make that date you should notify us within 5 working days. Failure to let us know within the 5 working days will result in your entry fees being lost.

If you inform us you cannot attend we will return your ticket price or entry fee minus the admin fee detailed on the schedule.

A time limit is given to ensure we can offer an efficient service to you and refund your money. This means we can advertise any unwanted spaces to other riders who might want to attend.

Bookmein Tickets Ltd - Refunds

In the event of a refund being due and this has been confirmed please allow 10 working days for your money to be refunded. Refunds are given in accordance with our cancellation and withdrawal policy for each event.

Bookmein Tickets Ltd – Competition Terms and Conditions

  1. Event Rules will be stated on the individual downloaded/printed schedule and on the website information. If you are in any doubt please get in contact.
  2. At any event run under Bookmein Tickets Ltd neither Bookmein Tickets Ltd, nor any persons acting on their behalf, nor the landowner can accept any liability for loss, damage, accident or injury to any persons, horses or property.
  3. At an equestrian event run by Bookmein Tickets Ltd it is compulsory that all riders wear hats/helmets up to British Standard Riding Hats conforming to All PAS 015, VG1 – provided they are BSI Kitemarked, European – VG1 – provided they are BSI Kitemarked American –All SEI ASTM F1163 04a onwards and SNELL E2001 Australian & New Zealand – AS/NZS 3838 2006 onwards.   All Hats must have been checked and tagged with the most recent 2018 British Eventing/PC or RC tag or Horse-Events Tag.
  4. At an equestrian event that contains a Cross country element it is compulsory that all riders wear body protectors to the latest BETA standard whilst going Cross Country and highly advisable when taking part in any riding activity.
  5. It is compulsory that every person entering the event venue who is under the age of 18 years of age is accompanied by a responsible adult.
  6. Please respect the venues and locations that we use, please pick up all rubbish and at equestrian events horseboxes are not to be mucked out on site.
  7. The Management of the venue or Bookmein Tickets Ltd reserves the right to remove anyone from any event at any time without giving a reason.
  8. Medical cover will be provided at all events, this level of cover will be dependent on the type of event and amount of people in attendance. You note and accept our first aid cover provided at each event

Equestrian one and two phase events: Emergency First Aider
ODE: Emergency First aider, Para Crew & 4×4 ambulance & Doctor

  1. Any event may be cancelled without notice due to adverse weather. In the event of adverse weather it is recommended that you check the website before departing.
  2. When purchasing a ticket or entering an event organised by Bookmein Tickets Ltd your details will be added to the database for further communication regarding events. If you wish to opt out of receiving marketing emails please select this box on your Bookmein account or by email.

Bookmein Tickets Ltd -  Health and Safety – at all Events

At any event the organisers have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective everyone must take all reasonable precautions to avoid and prevent accidents occurring, and must obey the rules and instructions of the organisers and stewards/officials.

Bookmein Tickets Ltd – Personal Injury and Insurance Notice – at all Events

The organiser, landowner, instructor or Bookmein Ticket Ltd does not insure the competitor, your horse or your personal items and equipment. You are strongly advised to have in place your own adequate horse and personal accident insurance at all times.

The organiser, landowner, instructor or Bookmein Ticket Ltd will not be held responsible for any accident, injury or loss to any person or their property however this may be caused.

Bookmein Tickets Ltd Privacy Policy

Our privacy policy describes how your personal data through your use of this website, including any data you may provide through this website when you, register on our website by a ticket or enter an event. This privacy notice supplements the other notices and is not intended to override them.

The data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

Identity Data includes first name, last name, username or similar identifier, title, date of birth and gender.

Contact Data includes billing address, email address and telephone numbers.

Transaction Data includes details about payments to and from you and other details of anything you have purchased from us.

If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract (i.e. when you  book an event) and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to process your entry). In this case, we are unable to process your entry.

How is your personal data collected?

We only collect data for direct interaction with you, i.e. when you book a ticket or entry to an event. We may also collect your data when you make contact with us by post, phone or email or online via our website

How we use your personal data

When it is required to perform the contract we are about to enter into or have entered into with you, this could be entering an event or buying a ticket.

Where we need to comply with a legal or regulatory obligation.

Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.

Legitimate Interest means the interest of our business in conducting and managing our business to enable us to give you the best service/product and the best and most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). Performance of Contract means processing your data where it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.

Purposes for which we will use your personal data

We have set out below, in a table format, a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate.

Note that we may process your personal data for more than one lawful ground depending on the specific purpose for which we are using your data. Marketing.

Promotional offers from us

We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).

You will receive marketing communications from us if you have requested information from us or you provided us with your details when you registered or entered an event on the website and, in each case, you have opted to receive that marketing.

Third-party marketing

We only share your data with that of the third party organiser of the specific event you entered. We do not share your data with third parties for marketing purposes.

Opting out

If you would prefer that we stop sending you marketing messages:

Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of entering an event or registering on the website. If you would like your account to be deleted in full please email bookmeinevents@gmail.com from the email you wish it to be deleted from.

You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, please note that some parts of this website may become inaccessible or not function properly.

Change of purpose

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.

Disclosures of your personal data

We may have to share your personal data with Third Parties:

Organisers of the events on our website, other equestrian organisations such as the The Pony Club & National Schools Equestrian Association

Professional advisers acting as processors or joint controllers including lawyers, bankers, auditors and insurers based in the United Kingdom who provide consultancy, banking, legal, insurance and accounting services.

HM Revenue & Customs, regulators and other authorities acting as processors or joint controllers based in the United Kingdom who require reporting of processing activities in certain circumstances.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

We do not transfer your personal data outside the European Economic Area (EEA).

 

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Data retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law we have to keep financial data for six years from receipt of such information for financial and tax purposes.

Your legal rights

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

You also have the right to object where we are processing your personal data for direct marketing purposes. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

You will need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Our website contains links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. Intellectual property

Our Liability

We will not be liable to you or in breach of this User Agreement for any delay or failure to perform any obligation if the delay or failure is due to a cause beyond our reasonable control including, without limitation, the blocking or restricting of information to and/or from our network.

Small Print

You may terminate this User Agreement at any time. You may not transfer any of your rights or delegate any of your obligations under this User Agreement without our prior written consent. If we fail to enforce any provision of this User Agreement, that failure will not preclude us from enforcing either that provision (or any similar provision) on a later occasion. Nothing in this User Agreement shall confer on any third party any benefit or the right to enforce any term of the User Agreement. This User Agreement is governed by English law and any dispute connected with this agreement is subject to the exclusive jurisdiction of the English courts. Nothing in this User Agreement affects your statutory rights as a consumer.

Cookies

Bookmein Tickets Ltd does not make use of a web site visitor’s IP address, or other session information that is automatically captured by its web server, for any purpose other than system administration and to provide statistics that are used to evaluate use of the site.

Only Session Cookies are used. These are necessary for system administration purposes and are deleted when a visit to the site is terminated. The pages that are visited are tracked for analysis purposes only and the information is not used to make any assumptions about a visitor’s interests.
